About TDGI
The Tech Diplomacy Global Institute is a neutral, international institute working at the intersection of technology and foreign policy. TDGI builds trust between governments, industry and the research community, produces foresight on tech diplomacy, and supports countries seeking to institutionalise tech diplomacy within their own systems. Our work includes Expert Councils on AI, cybersecurity, quantum and space diplomacy, the Tech Diplomacy Global Executive Program (TDGEP), international symposia and convenings, and applied research.

Purpose of the role
We are looking for one highly capable person to hold together the operational and editorial work of a small institute with a large international footprint. The role spans communications, research support, council and event coordination, protocol and administration. It suits someone who moves quickly, writes to an academic standard, and is comfortable being the person who makes things happen across several files at once.
The role works alongside our Chief of Staff, who leads contractual, membership and admissions matters. The Programme Officer takes what the institute has committed to and delivers it.
This is a generalist position by design. The successful candidate will work directly with senior leadership and will be trusted with visible, sensitive work from the start.
Key responsibilities
Communications and social media
- Manage TDGI’s presence across LinkedIn and other institutional channels, including the editorial calendar, drafting and scheduling.
- Draft posts, announcements and speaker or partner communications in the institute’s voice.
- Produce visual and written content around TDGI events, publications and Expert Council activities.
- Track engagement and report on what is working.
Research and drafting

- Draft reports, policy briefs, concept notes, background papers and meeting summaries to publication standard.
- Conduct desk research on tech diplomacy practice, national strategies and comparative country cases.
- Support senior leadership with speech notes, talking points and briefing materials.
- Maintain accuracy, sourcing and referencing across all institute outputs.
- Expert Council coordination
- Serve as the coordination point for the members of TDGI’s Expert Councils on AI, cybersecurity, quantum and space diplomacy.
- Plan and service council meetings, including scheduling, agendas, papers, minutes and follow up.
- Track deliverables and deadlines, and keep members moving toward agreed outputs.
- Support the drafting and production of council publications
Event coordination
- Coordinate TDGI symposia, roundtables and convenings from concept through to delivery.
- Manage speaker and participant pipelines, invitations, registration, run of show and logistics.
- Liaise with host institutions, venues, ministries and co-organising partners.
- Run TDGEP logistics and event management, including venue, scheduling, materials and the on site running of sessions.
- Prepare event documentation and post event reporting.
Protocol and institutional relations
- Handle protocol correspondence and courtesies with foreign ministries, permanent missions, embassies and international organisations.
- Prepare invitation letters, official correspondence, seating and precedence arrangements, and briefing packs for senior guests.
- Maintain the institute’s contact and stakeholder records.
- Ensure that TDGI’s dealings with government and institutional counterparts meet expected standards of form and discretion.
Administration and executive support
- Manage the Secretariat inbox and correspondence on behalf of the leadership.
- Support scheduling, travel, document management and internal coordination.
- Provide administrative support to senior leadership as required.
- Take on other tasks as the institute’s work demands.
Who we are looking for
Essential
- Master’s degree or higher in international relations, political science, public policy, law, communications or a related field.
- Demonstrated academic writing ability, with a portfolio of written work such as a thesis, published articles, policy papers or research reports.
- Full professional fluency in English, plus at least one other working language.
- Excellent organisational skills, with a track record of managing several workstreams at once and meeting deadlines without supervision.
- Fast, action oriented and comfortable with ambiguity in a small team where everyone does a bit of everything.
- Sound judgement and discretion when handling sensitive institutional relationships.
- Confident with digital tools, including Google Workspace, LinkedIn and standard design and scheduling platforms.
- Able to work in the Central European Time zone.
Desirable
- Experience in a ministry of foreign affairs, embassy, international organisation, think tank or similar institutional environment.
- Familiarity with protocol conventions and diplomatic correspondence.
- Interest in or exposure to technology policy, digital governance or tech diplomacy.
- Portuguese, Spanish, French or Arabic, given our activity in Latin America, Europe, Africa and Asia.
- Experience coordinating international events or expert networks.
